I have put together some sample reports at various levels of
detail. I'll print some copies off.<br>
The main purpose of this meeting is to decide on a format for
the reports and to add whatever notes and comments might be
required. I'm hoping Zennon will help us add the proper accountants
tone to this exercise.<br>

We may also be able to discuss various other reports that we could
or should be producing. <br>
<ul>
<li>This year we have been producing the budget tracking document
which gives year-to-date budget estimates, actuals, and
variance.</li>
<li>The standard monthly Income/Expense report and current Balance
Sheet is also posted on the website.</li>
<li>Jeremy has expressed some interest in a "net income" report
that would group income and expense by project or category.
This could help identify how different things are working out.

<li>There is the one page Treasurers Report that I produced last
year. This is a monthly update on new income/expense and an
indication of funds available.</li>
<li>Organizations often produce reports as simple as a couple of
pie-charts to explain where their money comes from and where it
goes. This can provide some reassurance to potential donors.
This would probably not look so good for our current operation</li>

<p class="MsoNormal" style="margin-bottom:12.0pt">These are
different in that $125 for AGM catering has been changed
from an Acct/Pay to Donation income (thanks Bev). I have
also removed the $20,000 Bike to work day grant from
Income and Expense since it was only a flow through. I'm
not sure if this is appropriate. It was money that we
neither earned nor spent. But it would show up in an
audit if one were done. Perhaps a footnote? <br>
Our 10% admin fee ($2,000) for Bike to work day is
still there. <br>

Other points to discuss are the level of detail that
should be reported and better labels for various items.
There is also the overall $11,000 loss for the year which
is largely staff expenses exceeding income. But there are
several special items like the new logo, and a $900 write
down on old T-shirt inventory and $870 for the Bike Valet
founder.<br>

My time is pretty much free next week except for
Monday evening.<br>
